Privacy notice
This notice explains what information RNK Academy keeps, why, and your choices. The controller of your information is RNK Enterprise, 702 N Crescent Dr, Creedmoor, NC 27522, USA ([email protected]).
What we keep
- Account: your name, email address, a securely hashed password, time zone, communication preference, and when you signed in. For signed-in devices we keep a short browser description so you can review them.
- Enrollment and payment: the classes you hold, your orders and receipts, refunds, and the payment provider's reference numbers. Card details are entered on the payment provider's page; we never see or store them.
- Learning: the modules you mark complete, files you submit, attendance, assessment appointments and scores, your course result and any certificate.
- Assessments: whether your identity check passed (not a copy of your ID), proctor notes about your appointment, and any extra time agreed as an accommodation. We do not use webcam recording, room scans, biometrics or automated behavior analysis.
- Help, feedback and accommodations: what you send us and our replies. Accessibility and privacy requests are visible only to the staff who handle them. Feedback sent anonymously is stored without your account or email.
- Guest book: the public name and message you choose to submit, an optional private email address for managing your entry, a record of your consent, and a one-way hash of your network address to limit abuse.
Cookies and tracking
We use only the cookies the site needs to work. We do not use advertising or analytics cookies, and the site makes no requests to third-party trackers. If that ever changes, we will update this notice first and ask for your consent where the law requires it.
| Cookie | What it does | How long it lasts |
|---|---|---|
rnka_sid | Keeps you signed in. Set only when you sign in. | Until you sign out, or after a period of inactivity (at most 30 days; 12 hours for staff) |
rnka_csrf | Protects forms against cross-site request forgery. | 1 year |
rnka_cookie_notice | Remembers that you have seen the cookie notice. | 1 year |
On the live site the first two names start with __Host-, which stops other sites and subdomains from setting them. You can delete these cookies in your browser at any time; you will simply be signed out.
Why we use it
To provide the classes you buy, take payment and issue receipts and refunds, run and assess the course, give you support and accommodations, keep the site secure, and meet legal and accounting obligations. We send marketing only if you opt in, and you can opt out at any time in your account settings.
Where data-protection laws such as the EU or UK GDPR apply to you, we rely on these legal bases:
- Our contract with you: your account, classes, payments, refunds, assessments, certificates and support.
- Legal obligations: tax and accounting records, and responding to lawful requests.
- Legitimate interests: keeping the site and your account secure, preventing fraud and abuse (including the network-address hash used for the guest book), and improving our courses from feedback.
- Your consent: marketing emails and guest-book entries, and your explicit consent for any health or disability information you share to arrange an accommodation. You can withdraw consent at any time.
Who we share it with
Our payment provider (to take payment), our email delivery service (to send account and class messages), and our hosting provider. Instructors and proctors see only what they need for the classes and appointments they run.
- Payments: Stripe, Inc. You enter your card details on Stripe's page, and Stripe handles them under its own privacy policy.
- Hosting: the site runs on servers in the United States, and Cloudflare, Inc. protects the site and carries its traffic.
- Email: Forward Email LLC delivers our account and class emails.
We store your information in the United States. If you live elsewhere, it is transferred to and processed in the United States, and our providers may also process it in other countries where they operate. We never sell your information.
How long we keep it
- Account details: while your account is open. If you ask us to delete your account, we do so within 30 days, apart from the records below that we must keep.
- Orders, payments, refunds and receipts: 7 years after the purchase, for tax and accounting.
- Course results and certificates: kept so we can confirm a result or certificate for you later. If you ask us to delete them, we can no longer confirm them.
- Files you submit: 1 year after your class ends.
- Assessment records (identity-check result, proctor notes and appointment details): 1 year after the assessment, or until any review or appeal is finished.
- Help requests, feedback and accommodation requests: 2 years after they are closed.
- Guest-book entries: until you withdraw your entry or we remove it.
Deleted information can remain in our backup copies until those copies are replaced.
Your choices and rights
You can update your name, email, time zone and communication preference in your account. You can ask for a copy of your information, a correction, or deletion from your account settings or the help page. Some records, such as payments and completion records, may need to be kept for a period even after you close your account; we will tell you what applies.
Depending on where you live, you may also have the right to object to or restrict how we use your information, to receive it in a portable format, and to withdraw consent. We reply to these requests within 30 days. If you live in the EU, EEA or UK, you can complain to your local data-protection authority (in the UK, the Information Commissioner's Office). In the United States, you can contact your state attorney general. We would welcome the chance to put things right first: contact [email protected].
